The Backyard Birthday Party Checklist for DFW Parents
Here's the short version: book your rentals six to eight weeks out, send invites three weeks out, confirm your headcount the week of, and clear the yard the night before. Everything else is detail. Below is the version with the detail, written by two people who have been hauling bounce houses into DFW backyards since 2019 and have seen most of the ways it goes sideways.
Six to eight weeks out
Pick the date and the backup date. In DFW this matters more than it does most places. Spring storms and August heat both have opinions about your party, and having a second Saturday already in your head makes the rescheduling conversation take four minutes instead of four days.
Book the big rentals. The modern white bounce house, the tables, the chairs. This is the piece with the least flexibility, because there's one of each unit and Saturdays go first. Everything else on this list can be handled in a week. This can't.
Decide the theme, loosely. You do not need it nailed down. You need enough of a direction to pick a palette, because the palette is what every other decision hangs off.
Four weeks out
Lock the headcount range. Not the exact number. A range. Eighteen to twenty-four kids is a useful thing to know; "some kids" is not, because seating and unit size both key off it.
Order anything that ships. Custom banners, favors, the specific plates. Anything coming from a website needs a buffer, and the buffer always gets used.
Go measure the yard. Not eyeball it. Our bounce houses run 10x10 up to 18x18, and you want about three feet of clear space on every side, so the biggest one needs roughly a 24x24 area. Is that spot actually flat? Are there sprinkler heads in it, or a low branch over it? We set up on grass, turf, concrete, or asphalt, and not on dirt, gravel, or rocks, so if your only open space is the gravel side yard, now is when you want to know that.
Three weeks out
Send the invites. Three weeks is the sweet spot for kids parties. Earlier and people forget. Later and their Saturday is gone.
Sort out the food. Whether that's catering, a pizza order, or you and a grill. Decide now so it's not the thing you're solving on Thursday night.
Think about shade and water. In a DFW summer this is not a nice-to-have. A pop-up canopy, a cooler of waters somewhere kids can reach, and a plan for where the adults sit will do more for the day than another decoration will.
The week of
Confirm your rental details. Your final balance with us is due the Friday before, charged automatically to the card on file. Our cutoff for new reservations is the Wednesday before your event, so if you're adding tables or a second unit, that's your window.
Watch the forecast, but don't panic. We cancel for heavy rain at a 50% chance or higher, winds over 18 mph, thunderstorms, or snow. If we make that call, your deposit moves to another date within a year. A 20% chance of a passing shower is not a cancellation.
Buy the ice. Then buy more ice. This is the single most consistent regret in backyard party history.
The night before
Mow, and clear the setup area completely. Toys, hoses, dog mess, patio furniture, all of it. Mark your sprinkler heads if you know where they are.
Charge your phone, and put the cake somewhere the dog cannot reach.
Party day
We arrive an hour before your start time. Setup takes 30 minutes to an hour depending on which unit you reserved and how many we're putting up. You don't have to be home for it. We can set up and text you photos when everything's standing.
Then do the one thing that's hardest for the person who planned it: put the phone down for twenty minutes and go stand in the middle of it. Somebody else will get the photos. You should get the party.
What most DFW backyard birthdays end up renting
A modern white bounce house is the anchor, and in summer a splash unit instead. Kids tables and chairs, because thirty kids need somewhere to land when the cake comes out. A balloon arch, which installs straight onto our units thanks to the rings on them.
You can price those separately or take a party package, which quotes the whole thing as one number and one delivery window. We set it up, and we come back the same day and take it away. We bring the party. You throw it.
